Quick note as we approach August Executive Board Meeting

A few items to point out as we are just over a month out from the August Executive Board meeting:

  • The meeting is in a new location. For those that have been on the Executive Board in years past, we are taking a detour from the Four Seasons in Austin. For at least the next two years, the meeting will be held at the Hyatt Lost Pines Resort near Bastrop. It's about the same distance from the airport, just east instead of west. We think you'll enjoy the change in atmosphere and amenities of the remote, yet upscale venue. Here's a map of the location.

  • Several RVP's have not yet registered for the meeting. Please look back at your records to ensure that you have done that. Maria will be reaching out to those that have not.

  • This is our meeting to review the 2024 Budget Proposal as presented by the Budget & Finance Committee. Your materials will be shipped to you the week of July 17. Please review the proposal in advance of the meeting. With a lowered membership projection for 2024, the Budget & Finance Committee is considering a proposal with nearly $2.4 million in spending cuts. You'll hear from staff leaders in each department on what is and isn't in their proposed budgets.

  • Here's the schedule: Sunday, August 6 from 6:00-9:00p is the Executive Board Dinner (first 30 minutes is reception.) The following morning, breakfast is at 8:00a and the meeting will begin promptly at 8:30a. The meeting will last until 2:00p - please do not plan to leave before that time.

  • We're trying something new with room set-up. Instead of the enormous U-shape table, we are going to be setting the room in a chevron formation in order to improve visibility and engagement and improve the overall experience. Also, especially for Conference where we are joined by the incoming RVP's, this allows for much better use of space. We'll be eager to get your feedback.

  • Finally, a quicky reminder on policy. The Travel Policy provides for self-parking at meetings (where there is a self-parking option.) Members are personally liable for parking options in excess of self-parking. At the Hyatt Lost Pines, self-parking is $18/night covered on the master bill and valet parking is $42/night. So, for example, if you choose valet, you would be charged back $24/night. Additionally, as with any meetings with hotel stays, we are bound by the hotel's policies. If you must cancel your hotel reservation, make sure to do so in accordance with the hotel's cancellation policy to avoid any fees.
